Job Title: Creative Project Manager

Location: Historic Downtown Willoughby, Ohio (On-site with flexibility)

Position Overview

The Creative Project Manager will serve as the operational backbone for our creative and event projects, ensuring seamless execution from concept to delivery. This role bridges the gap between clients, creative teams, and vendors—driving timelines, budgets, scope, and quality. You’ll be a key player in elevating our project management standards while supporting BMA’s mission of authentic communication and top-tier production.

Key Responsibilities

  • Project Planning & Execution:
  • Develop and manage project plans, timelines, and deliverables for creative, marketing, and event projects.
  • Coordinate with internal teams (design, video, audio, web, event production) and external vendors.
  • Proactively identify and mitigate risks, manage scope changes, and ensure projects stay on track.

  • Client Communication:
  • Serve as secondary point of contact for clients on projects as needed to resolve problems or manage complicated situations.
  • Facilitate kick-off meetings, status updates, and post-project reviews.
  • Translate client objectives into actionable project plans.

  • Resource & Budget Management:
  • Allocate staff and vendor resources based on project requirements and priorities.
  • Track project budgets, labor hours, and expenses; flag variances and recommend corrective actions.
  • Support accurate quoting, milestone billing, and post-event reconciliation.

  • Quality & Process Improvement:
  • Ensure all deliverables meet BMA’s quality standards and client expectations.
  • Contribute to refining project management processes, templates, and best practices.
  • Lead postmortems to capture lessons learned and drive continuous improvement.

On-Time, On-Budget Delivery:

  • ≥90% of projects delivered within agreed timelines and budgets.

Client Satisfaction:

  • Achieve ≥90% positive client feedback on communication, responsiveness, and project outcomes.

Scope & Risk Management:

  • Document and manage all scope changes; proactively flag risks and minimize unplanned overruns.

Resource Utilization:

  • Maintain optimal allocation of internal and external resources; minimize non-billable time on projects.

Process & Quality Improvement:

  • Implement at least one new process improvement or best practice per quarter.

Qualifications

  • 3+ years’ experience in project management (creative agency, production, or event management preferred)
  • Proven track record managing multiple concurrent projects and deadlines
  • Strong communication, organization, and problem-solving skills
  • Experience with project management tools (e.g., Monday, Asana, Trello) and time tracking systems
  • Familiarity with creative production workflows (design, video, audio, web)
  • Bachelor’s degree in business management or marketing is preferred.
