Role Summary:

The Accounting Assistant supports the daily financial operations of the organization while providing essential administrative support to the HR team. This role is ideal for someone who is detail-oriented, organized, and comfortable working with numbers and documentation. The Accounting Assistant ensures accuracy in financial processes and helps maintain smooth HR workflows across multiple companies.

Key Responsibilities:

Accounting Support

  • Process vendor invoices, match packing slips, and route items for approval.
  • Assist with accounts payable and accounts receivable tasks.
  • Prepare payment batches and support weekly check runs.
  • Maintain customer credit limit documentation and assist with credit application processing.
  • Reconcile receipts, statements, and basic general ledger entries.
  • Support month-end close tasks such as gathering documentation and preparing reconciliations.
  • Maintain organized digital and physical financial filing systems.
  • Assist with reporting and data entry in accounting software.

HR Support

  • Assist with onboarding tasks including preparing new hire packets, collecting documentation, and scheduling orientations.
  • Maintain employee files and ensure all required documents are complete and up to date.
  • Support timekeeping processes by reviewing timesheets and following up with supervisors.
  • Help coordinate employee events, training sessions, and recognition activities.
  • Assist with benefits administration tasks such as distributing forms or updating employee information.
  • Support compliance efforts by tracking certifications, acknowledgments, and required documentation.

Qualifications:

  • 1–3 years of accounting or administrative experience; HR support experience is a plus.
  • Strong attention to detail and accuracy in data entry and documentation.
  • Proficiency with Microsoft Office; experience with accounting or HRIS systems preferred.
  • Ability to handle confidential information with professionalism and discretion.
  • Strong communication and interpersonal skills.
  • Ability to manage multiple priorities in a fast-paced, multi-company environment.
