RESPONSIBILITIES/DUTIES/FUNCTIONS/TASKS

  • Overseeing the day-to-day operations of a HUD-assisted housing complexes, ensuring compliance with regulations, and maintaining a high quality of living for residents.
  • Ensuring the smooth running of our community in a fast-paced environment. Overseeing all operations including maintenance, capital improvements, lease administration, budgeting, forecasting, reporting, collections, evictions, vacancy anticipation, marketing, lease renewals, service contracts, expense control, audits, etc.
  • Screen tenant applicants; prepare and execute lease agreements and lease renewals for residential and commercial residents.
  • Collect income documents from residents and prepare, calculate, and complete annual income recertifications.
  • Conduct monthly building inspections and annual apartment inspections to ensure compliance with property standards.
  • Conduct move-in and move-out inspections; prepare and submit work scopes for vacant units.
  • Manage and monitor rent arrears actively, issuing notices and reminders to ensure timely payments.
  • Pursue rent collection, attend housing court hearings, and coordinate with legal counsel on tenant-related matters.
  • Correct and certify violations for ECB (Environmental Control Board), NYCHA (New York City Housing Authority), HPD (Housing Preservation & Development), Section 8 HOS (Housing Quality Standards), and court stipulations.
  • Audit, purge, and prepare resident files for annual reviews with various agencies, including Enterprise, CGI, HUD, HPD, and New York Homes.
  • Submit monthly reports to relevant agencies (Enterprise, CGI, HUD, HPD, and New York Homes). Ensure compliance with reporting deadlines and accuracy.
  • Monitor rent adjustments and subsidy changes, updating tenant files accordingly.
  • Assist in the supervision of building service employees, including approving vacation and personal time, and participate in personnel decisions.
  • Conduct monthly meetings with residents, building service employees, and service coordinators to address concerns and share updates.
  • Prepare, monitor, and submit weekly vacancy reports, monthly legal reports, and rental updates.
  • Distribute work order tickets to service employees, vendors, and contractors, and ensure timely completion of tasks.
  • Coordinate building maintenance schedules and preventative maintenance programs.
  • Maintain budgets and work with accounts receivable, accounts payable, and the purchasing department to ensure that building expenditures and income are balanced.

· Collaborate with the IT department to ensure the integrity of property management software and database systems.

  • Providing superior customer service and communication to our residents and prospects to enhance customer satisfaction and increase renewals, revenue, reputation, and profitability. Complete lease/renewal paperwork to ensure completion of company standards.
  • Developing, mentoring, leading, and managing a high-performing, cohesive team, including leasing, customer service, maintenance, and management personnel, in order to maximize their engagement and minimize turnover.
  • Leading by example. Instilling, maintaining, and modeling SEBCO’s mission to be the best management company in affordable housing.
  • Supervise day-to-day operations of the entire on-site team, ensuring that all policies and procedures are being followed.
  • Maintain residents' files in accordance with the company’s standards.
  • Maintain a positive living environment for community residents through prompt conflict resolution and consistent follow-up.

COMPETENCIES:

  • Effective communication and customer service skills
  • Computer literate, including Microsoft Office Suite and internet navigation skills.
  • General office, bookkeeping and sales skills and excellent oral and written communication skills.
  • Determine leasing opportunities for staff and work on goal setting, improving the performance of each staff member.
  • Supervise day-to-day operations of team, ensuring that all C&W policies and procedures are followed.
  • Work with leasing staff to ensure that leasing/marketing goals are being met.
  • Be able to manage a team.
  • Perform any other related duties as required or assigned.

Work Environment
This position operates primarily in a professional office setting and routinely utilizes standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines. This role may also require regular travel.

· Stand and walk for extended or continuous periods.

· Ascend and descend staircases, ladders, and/or step stools.

· Travel outdoors between buildings in varying weather conditions.

· Remain in a stationary position (sitting or standing) for up to 85% of the time while operating office machinery.

· Travel up to 15% of the time, with frequency and duration subject to business needs.

· Exert up to 25 pounds occasionally, frequently, or continuously to lift, carry, push, pull, or move objects.

EDUCATION:

  • Bachelor’s Degree preferred.
  • NY Real Estate License preferred.
  • Affordable Certifications preferred.

EXPERIENCE:

  • 3+ years of Multifamily Property Management experience, on-site in NYC
  • 3+ years of Affordable HUD Multi-family experience
  • MRI Software, Yardi
  • LIHTC: 2 years (Required)
  • Bilingual Spanish preferred

Job Type: Full Time

Shift Schedule:

Monday to Friday 8:00 am - 4:00 pm

Pay: $65,000.00 - $80,000.00 per year
