Overview

HR Admin Specialist Location: Ramsey, NJ (Hybrid; 3 days in-office)

Salary range: $64,100 $80,200 + Outstanding benefits package

Position Overview

A global leader in the imaging industry is seeking an HR Admin Specialist to provide executive-level administrative support and coordinate key HR and operational functions. This role will serve as a liaison between executive leadership, internal departments, and external partners, ensuring smooth day-to-day operations and effective communication across the organization. The position reports directly to the President of the U.S. subsidiary.

Key Responsibilities
  • Act as the primary liaison with affiliated company Legal and HR teams.
  • Support the President in coordinating internal communications, special projects, and initiatives.
  • Prepare and submit quarterly and annual compliance reports (e.g., JSOX, risk assessments).
  • Provide direct administrative support to the President.
  • Manage logistics for employee surveys, analyze results, and recommend improvements.
  • Track and administer employee programs such as continuing education, referral bonuses, and performance initiatives.
  • Maintain accurate organizational charts and employee contact records.
  • Support recruitment efforts by coordinating with internal and external recruiters, aligned with business strategy.
  • Assist in resolving HR-related issues in collaboration with the President.
Qualifications
  • Bachelors degree required.
  • 1+ years of experience in HR preferred.
  • 2+ years of administrative or executive assistant experience preferred.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment.
  • Team-oriented with the ability to work independently.
  • General business knowledge preferred.
